If you are organizing an event, one of the first decision that is required is the choice of venue. No matter what type of event you are planning, you need to find a convenient, accessible location which offers the space and facilities you need. Choosing the right venue could mean the difference between guests showing up in droves- or an empty house.  Here are ten fundamental questions you should ask.


  1. Are there days of the week or time of the year that cost less than others?
  2. What is included in the venue rental?
  3. How many hours do you offer for set-up and break down?
  4. Do you have a list of preferred suppliers/vendors?
  5. Are there any decoration restrictions or limitations?
  6. Is guest parking available? If so, is it free?
  7. Do you have a liquor license and have staff members that are authorized to serve alcoholic beverages??
  8. Does your venue offer in-house catering?
  9. What kind of deposits are required and is there a payment scheduling option available?
  10. 10. Are there additional costs like cleaning fees, overtime charges, service charge, or gratuity?

Hosting a chain of small events across multiple, strategic sites is a great way to extend your event’s brand, create deeper connections in local communities, and expand into new markets.  Imagine your attendees catching the keynote address at a brewery in the morning, attend breakout sessions in the open air tents covering the parking lot next door, spend the afternoon on the golf course and wrap up the evening networking at a cocktail party on a rooftop a few blocks away.  Who needs a convention center?

10 Steps to a Successful Fundraising Event

  1. Set a Goal

When beginning a new project you always want to start with looking at what you want to achieve.  What are your goals for the event you are planning?  A specific monetary goal in mind will help determine the success of your event and ways to improve in the future.  You’ll also want to look at how the event ties into your larger fundraising strategy as a whole.  Are you looking to attract new donors or reward existing donors?  Is the main focus to gain publicity for your cause?  What segment of your charity’s mission are you looking to reflect?  With your specific goals in mind you can then begin to articulate a vision for your fundraising event.

  1. Choose a Type of Event

To choose among the numerous types of events to host, your initial question should be, “What type of event will encourage donors to attend?”  Along with your fundraising goal, this question will create the nature and scope of your event.  Are you looking to host a high-end event for major donors?  A traditional gala or formal dinner would be the way to go.  Focusing on publicity?  Try a large event open to the public like a walk-a-thon.  Host a golf outing if you are looking to showcase what your charity has accomplished over the year as well as have some networking time with guests.

  1. Build a Budget

With your main goal to raise funds for your non-profit, don’t forget that you will have to invest some of your own capital to make the event happen.  Each event is different; a few ideas of typical expenditures include event space/venue, catering/refreshments, entertainment, invitations, event planning or auction software, promotional items.  Create an excel sheet to keep track of your budget.  You’ll also want to add a category for contingency funds for unexpected items.  This is the time to begin looking for potential sponsors for your event.  If you can find supporters or local businesses to help defray some of your event costs you’ll not only build a lasting community relationship, but also reduce some of your event expenses.

  1. Create a Leadership Team

Now that you have an understanding of what you’ll be doing, it’s time to focus on who will be in charge of the various logistical components.  For smaller events it may only be a simple team to coordinate the different pieces.  For larger events you may have multiple committees or task groups with staff and volunteers reporting to them to get everything done.  Think about all the facets of the event and assign a person or group of people in charge of each.  Examples of these would be: sponsorships, marketing and promotions, ticket sales/registration, volunteer management, venue set-up and clean-up, auction item procurement, event follow-up.  Communication is key, so make sure everyone knows their role and specific tasks to ensure a successful event.

  1. Set a Date and Time for Event

The perfect date would be one that is convenient for donors and also provides plenty of time for planning and securing RSVPs.  If you’re hosting an annual event try to keep the timing consistent year to year so that donors know when to generally expect it.  Check your date against a local events calendar to ensure your guests won’t have conflicts with other large events like sports games or local festivals.   Weekends are typically the most popular time, but can also be the most expensive.  By choosing a Friday night, weekday, or fall/winter date which is off-season for your venue/catering/entertainment you can save money on some of your costlier budgetary expenses.

  1. Market your Fundraising Event

The details of your event are coming together, and now it’s time to get the word out.  Try a variety of avenues from traditional mailings to free online community calendar postings.  Make sure that your event is prominent on your charity’s website and is shared throughout your social media platforms.  The most effective marketing plan includes multiple channels both online and offline.

  1. Start Selling Tickets to your Event

How will you handle ticket sales and registration for your event?  Will you charge a flat price or offer different packages?  Should you offer a VIP ticket option or offer discounts to groups or families?  A popular option is to offer a discount to those who purchase early by a specific date.  Will you offer electronic tickets, physical tickets or both?  Will tickets only be available for purchase on your website or through an event management platform like Eventbrite or Waddle?  Additionally, you’ll want to provide donation options for those who want to contribute but are unable to attend the event and manage attendee and donor information.

  1. Preparations for the Big Day

In the final weeks leading up to your event make sure that you have confirmed all details (such as set up, arrival time, parking) with your vendors especially the catering and entertainment.  Schedule and organize your volunteers for the event.  The day of you’ll have last minute details such as decorating the venue, displaying auction items and setting up a registration table.

  1. Enjoy the Event

Don’t forget to have fun!  Your supporters will be able to tell if you or your staff is stressed out or exhausted. Show your donors how excited you are to have put together such an awesome event and how grateful you are for their attendance.  Create a hashtag to make social engagement easy to track.  Consider a live stream of the event on social media to include those guest who couldn’t make it.  Take time to engage with your guests and make sure they are enjoying the event.

  1. Follow Up

The event may be over, but your work isn’t done yet!  Follow up and thank your attendees for their support.  Write thank you letters to everyone involved in your event including: all guests, sponsors, volunteers and vendors.  Let them know the amount of money that was raised as well as how it will benefit your charity.  Be as detailed as possible.  Solicit feedback to make your next event even better!

Forming a relationship, even a business relationship, takes time.  Loyalty goes a long way toward maintaining trust and communication with potential donors or volunteers and is an essential ingredient in the recipe for fundraising success.  Networking serves a vital purpose in the promotion and growth of your charity. You should use your time at the golf course to develop connections, and thank your current donors.  A chance to speak with donors, colleagues, and beneficiaries within your community, in a beautiful golf course atmosphere.

I recommend that the host of the Charity Golf Outing does not play in the event.  Once play has started, the host can take a cart around the course and see each golfing group, providing an excellent opportunity to spend quality time and build better relationships with current donors.  Your guests will appreciate that the boss took time out of their day to thank them for their involvement.  Other members of the staff can ride along with the beverage cart or set-up on a hole.  These small meet and greet scenarios allow the staff members to build or increase their levels of relationships with the donors. Both of these provide time to be a gracious host.

Most golf courses (including Purgatory) will give you additional rounds of golf that you can use for a preview before your outing or at your convenience after the event; this is a great time to spend getting face time with large donors.

Remember that more often than not, people make investments in people.  The more involvement guests have with your organization’s events, the more they will support your cause.

There are many reasons why so many charitable organizations host golf outings.  But, the main reason is that it is a tried and true formula to raise funds.  If done correctly, Golf Outings can raise $5,000, $10,000, $20,000 or even $100,000 or more for your charity

Here are four fantastic reasons to consider hosting a golf event.

    • Banquet Events
    • Organizations Merchandise Sales
    • Donations

The above list are just a few suggestions; your organization can use as many of them as you see fit. Feel free to institute other revenue-generating ideas, to customize your event.

  1. Perfect setting to showcase the Charity.

What an excellent opportunity to tell your story, show the successes from the past year.  After your guests have had a fantastic day on the course, you have the opportunity to present awards to large donors, valuable team members and other prestigious awards.  Invite guests that are directly impacted by your organization’s work and let them thank the donors.  Present future goals and the fundraising levels needed to achieve those goals.  One of the future goals is to do business with the outing participants after the event.  The more “buy-in” donors have into the organization, the more they will give.  A Golf Outing works very well in most Charitable Organizations Social Marketing programs.  What a great way to build loyalty with organic social posts.  Golf Outings are also excellent ways to generate media exposure.

During banquets or gala fundraising events the host of the activities very seldom has a conversation with each donor.  Your duties are to be present at the dinner and meet a few of the more significant donors at the cocktail party.   Golf Outings usually take six-plus hours from registration to the banquet.  Thus providing opportunities to thank all donors and make personal connections with each of the guests.

2018 US Open Contest Rules

1. Eligibility: This Campaign is open only to those who comment on the Facebook post and who are 16 years of age or older as of the date of entry. The Campaign is only open to legal residents of the United States, and is void where prohibited by law. Employees of Purgatory Golf Course, its affiliates, subsidiaries, advertising and promotion agencies, and suppliers, (collectively the “Employees”), and immediate family members and/or those living in the same household of Employees are not eligible to participate in the Campaign. The Campaign is subject to all applicable federal, state, and local laws and regulations. Void where prohibited.

2. Agreement to Rules: By participating, the Contestant (“You”) agree to be fully unconditionally bound by these Rules, and You represent and warrant that You meet the eligibility requirements. In addition, You agree to accept the decisions of Purgatory Golf Course as final and binding as it relates to the content of this Campaign.

3. Campaign Period: Entries will be accepted online starting on Tuesday, June 12th at 12pm EST and ending Thursday, June 14th at 5am EST. All online entries must be received by Thursday, June 14th at 5am EST.

4. How to Enter: The Campaign must be entered by submitting a comment on the Facebook post at the Purgatory Golf Course page at The entry must fulfill all Campaign requirements, as specified, to be eligible to win a prize. Entries that are incomplete or do not adhere to the rules or specifications may be disqualified at the sole discretion of Purgatory Golf Course. You may enter only once. You must provide the information requested. You may not enter more times than indicated by using multiple email addresses, identities, or devices in an attempt to circumvent the rules. If You use fraudulent methods or otherwise attempt to circumvent the rules, your submission may be removed from eligibility at the sole discretion of Purgatory Golf Course. Alternate means of entry: Mail a 4″ x 6″ card with the following information; your full name, your complete address, a valid email address (if you do not have an email address, print “no email address”), a valid telephone number, the words “Pick The Winner” and mail entry to: Purgatory Golf Course 12160 E. 216th Street Noblesville, IN 46060. Only one entry card will be accepted per person. All entries become the exclusive property of Purgatory Golf Course and will not be acknowledged or returned.

5. Prizes: The Winner(s) of the Campaign (the “Winner”) will receive two greens fees at Purgatory Golf Course valued at approximately $100. Actual/appraised value may differ at time of prize award. The specifics of the prize shall be solely determined by Purgatory Golf Course. No cash or other prize substitution shall be permitted except at Purgatory Golf Course’s discretion. The prize is nontransferable. Any and all prize-related expenses, including without limitation any and all federal, state, and/or local taxes, shall be the sole responsibility of Winner. No substitution of prize or transfer/assignment of prize to others or request for the cash equivalent by Winner is permitted. Acceptance of prize constitutes permission for Purgatory Golf Course to use Winner’s name, likeness, and entry for purposes of advertising and trade without further compensation, unless prohibited by law.

6. Odds: The odds of winning depend on the number of eligible entries received.

7. Winner Selection and Notification: Winner will be selected by the rules of the contest under the supervision of Purgatory Golf Course. If there are multiple correct entries, the entry received that is closest to total score will be the winner, if there is a tie a random drawing will determine the winner. If no entry selects the winner, the entry with the closest finish will be the winner OR all entries will be pulled from a hat to decide the winner. The winner decision process is up to the course. Winner will be notified by Facebook message within five (5) days following selection of Winner. Purgatory Golf Course shall have no liability for Winner’s failure to receive notices due to spam, junk e-mail or other security settings or for Winner’s provision of incorrect or otherwise non-functioning contact information. If Winner cannot be contacted, is ineligible, fails to claim the prize within 14 days from the time award notification was sent, or fails to timely return a completed and executed declaration and release as required, the prize may be forfeited and an alternate Winner selected. Receipt by Winner of the prize offered in this Campaign is conditioned upon compliance with any and all federal, state, and local laws and regulations. ANY VIOLATION OF THESE OFFICIAL RULES BY WINNER (AT PURGATORY GOLF COURSE‘S SOLE DISCRETION) WILL RESULT IN WINNER’S DISQUALIFICATION AS WINNER OF THE CAMPAIGN, AND ALL PRIVILEGES AS WINNER WILL BE IMMEDIATELY TERMINATED.

8. Rights Granted by You: By entering a Facebook comment on the contest post, You understand and agree that Purgatory Golf Course, anyone acting on behalf of Purgatory Golf Course, and Purgatory Golf Course’s licensees, successors, and assigns, shall have the right, where permitted by law, to print, publish, broadcast, distribute, and use in any media now known or hereafter developed, in perpetuity and throughout the World, without limitation, your entry, name, portrait, picture, voice, likeness, image, statements about the Campaign, and biographical information for news, publicity, information, trade, advertising, public relations, and promotional purposes. without any further compensation, notice, review, or consent. 

9. Terms & Conditions: Purgatory Golf Course reserves the right, in its sole discretion, to cancel, terminate, modify or suspend the Campaign should virus, bug, non-authorized human intervention, fraud, or other cause beyond Purgatory Golf Course’s control corrupt or affect the administration, security, fairness, or proper conduct of the Campaign. In such case, Purgatory Golf Course may select the Winner from all eligible entries received prior to and/or after (if appropriate) the action taken by Purgatory Golf Course. Purgatory Golf Course reserves the right, in its sole discretion, to disqualify any individual who tampers or attempts to tamper with the entry process or the operation of the Campaign or website or violates these Terms & Conditions. Purgatory Golf Course has the right, in its sole discretion, to maintain the integrity of the Campaign, to void votes for any reason, including, but not limited to: multiple entries from the same user from different IP addresses; multiple entries from the same computer in excess of that allowed by Campaign rules; or the use of bots, macros, scripts, or other technical means for entering. Any attempt by an entrant to deliberately damage any website or undermine the legitimate operation of the Campaign may be a violation of criminal and civil laws. Limitation of Liability: By entering, You agree to release and hold harmless Purgatory Golf Course and its subsidiaries, affiliates, advertising and promotion agencies, partners, representatives, agents, successors, assigns, employees, officers, and directors from any liability, illness, injury, death, loss, litigation, claim, or damage that may occur, directly or indirectly, whether caused by negligence or not, from: (i) such entrant’s participation in the Campaign and/or his/her acceptance, possession, use, or misuse of any prize or any portion thereof; (ii) technical failures of any kind, including but not limited to the malfunction of any computer, cable, network, hardware, or software, or other mechanical equipment; (iii) the unavailability or inaccessibility of any transmissions, telephone, or Internet service; (iv) unauthorized human intervention in any part of the entry process or the Promotion; (v) electronic or human error in the administration of the Promotion or the processing of entries.

11. Disputes: THIS Campaign IS GOVERNED BY THE LAWS OF THE UNITED STATES OF AMERICA AND INDIANA, WITHOUT RESPECT TO CONFLICT OF LAW DOCTRINES. As a condition of participating in this Campaign, participant agrees that any and all disputes that cannot be resolved between the parties, and causes of action arising out of or connected with this Campaign, shall be resolved individually, without resort to any form of class action, exclusively before a court located in Indiana having jurisdiction. Further, in any such dispute, under no circumstances shall participant be permitted to obtain awards for, and hereby waives all rights to, punitive, incidental, or consequential damages, including reasonable attorney’s fees, other than participant’s actual out-of-pocket expenses (i.e. costs associated with entering this Campaign). Participant further waives all rights to have damages multiplied or increased.
